Making a data request

This guide outlines the essential steps to take before requesting data from NSW government agencies. 

Please note:

  • Data requests are assessed against relevant NSW legislation and policies
  • An agreement may be needed to facilitate data sharing arrangements between NSW Government agencies
  • Charges may apply for provision of access to data. 
1. Define the purpose and context of your data request

Clearly articulate the purpose and scope of your project to guide your data search. 

Consider these questions:

  • What is the project’s goal or objective?
  • What are the issues to be addressed or questions to be answered?
  • What do I need to measure?
  • What are the expected benefits or outcomes?
  • How much data is required?

TIP: Frame research questions that can be answered with data, as each response will serve as evidence to support your conclusions and decisions.

2. Check your agency's data ecosystem
  1. Review internal resources

    Look at your agency’s information asset register or data catalogues to confirm that the data you are looking for is not available internally. These resources typically identify data assets, owners, usage rights and permissions.

  2. Engage internal experts

    Contact data owners and subject matter experts for advice on standard data sharing processes. 

    Ask if they can suggest or recommend potential external sources. 

3. Find data and data provider
  1. Identify the likely data provider
  2. After identifying a potential data provider, find and verify if the required data is publicly available.

TIP: Review published data dictionaries or data quality statements to understand the data and identify related datasets.

  1. Contact the potential data provider via their email address or web form.
    • Confirm whether you can use their publicly available data for your purpose.
    • Ask if they hold the data you need and what their request process involves.
4. Make your data request

Provide clear details to help the data provider assess your request.

Specify when you need the data and why.

  • Location: postcode / suburb or statistical area level 4 (SA4)
  • Information classification: OFFICIAL: Sensitive – Personal or OFFICIAL: Sensitive – Health Information

5. What to expect from the data provider

Once your request is submitted, the data provider will:

  • Assess your request against policies and legislation. This includes assessing your agency's data practices, platforms and services.
  • Discuss scope, timeframe, costs, and potential barriers.
  • Outline terms and conditions for data sharing.
